Introduction

 

What is CILe?

CILe is a therapist-developed private practice management software package designed to allow a mental health therapist to manage all data-related aspects of their work with their clients. It is designed for a single therapist working in a clinic or in private practice, and if the therapist desires, an Admin person for off-site fiscal management, as well.

I began my career as a computer analyst/programmer, and spent 28 years in that field. I then changed careers and in 1997, became a mental health therapist. Over these many years, I have designed and developed CILe as I learned what it takes to effectively manage my client data. At this point, CILe represents my process of discovering a data management need, and stopping right then and incorporating it into the software. It has evolved little by little to help me manage my own work with clients, and has become an indespensible part of my private practice.

What does CILe do?

The following is a brief description of what CILe does:

1) Manages scheduling of client session, including 'standing schedules' from which the current schedule can be built with a single click of a button.
2) Manages session notes, making it easy to finish the client's note between sessions.
3) Manages financial information, including copay due, session fee, and insurance data.
4) Submits electronic claims to a clearinghouse who disperses claims to the insurance companies.
5) Tracks when insurance approvals are due and notifies you through displays on the schedule screen so you can see if a client's treatment plan to the insurance company is due.
6) Gives you a single screen with all of the client and insurance data required to call the insurance company and have everything you need at your fingertips for a rapid resolution to insurance issues.
7) Gives you a convenient screen for listing insurance claims that have not been paid, sorted by submission date or client. That screen allows input of insurance payment on a per-session basis for detailed management and tracking control.
8) Gives you a single screen with all of the client and insurance data required to call the insurance company, and have everything you need at your fingertips for a rapid resolution to insurance issues.
9) Provides many conveniences such as a screen for showing you when a scheduled client does not yet have a session note, when a client with a session note does not yet have an insurance submission done, and outstanding balances of client's copays due.
10) Also provides utilities such as a convenient address book, a phone-messaging system, a to-do list, the ability to produce and store electronically a letter to the client and have the envelope produced from the database, the ability to produce a letter and have it produced with the names and addresses of all open clients, including their envelopes addressed correctly, and others.
