Weekly Procedure
What do I need to do each week to stay caught up?

Certainly, what you do or don't do is completely up to you. CILe has been designed to facilitate you being able to easily keep up with all of your paperwork and claims research, and this may help you keep track of what you have and haven't done so you won't get behind. I have developed this scheme from my own procedure, developed over the last few years of using CILe and managing my private practice. Again, handle your business any way you'd like, but here's my approach. There are screens set up in CILe for each step.

Each Day

I do the schedule for the entire week at the beginning of the week, but then I will review it at the beginning of each day to see if it needs any tweaks, and to be certain I haven't double-booked a slot. I also try to do the session notes between each client so I don't have to deal with them all at once. If you plan 5-10 minutes between clients, that's more than enough time to do the note and the claim between clients.

  1. Confirm your schedule. How?
  2. Call on new clients to confirm insurance coverage, if necessary. How?
  3. Meet with clients.
  4. Do session notes (which will automatically generate claims). How?

Each Week

At the end of each week - Friday for me - I do my wrap-ups, which don't normally take more than an hour or so if I've done my daily work right.

  1. Check the 'Missing Session Notes' listing to be certain you haven't missed any notes for clients on the schedule. How?
  2. Check the 'Sessions with no claims submitted' listing to be certain you've successfully created all of the claims.' How?
  3. Check the 'Verify / Delete Pending e-mails' listing to make sure everything looks okay. How?
  4. Create the Eclaim file for transmission to the clearinghouse. How?
  5. Document any insurance checks received. How?
  6. Double-check the copay's received and prepare all checks for deposit. How?
  7. Determine if there are any ITP's (Individualized Treatment Plans) due. How?
  8. Make a backup of the database. How?

When you have time to do research

When I have time due to cancellations, unscheduled sessions, or before or after the work day, these are the things I will sit down to do:

  1. See if there are any claims that need to be researched and make the phone calls. How?
  2. See if there are any visit authorizations I need to submit. How?
  3. Call for any new clients who need insurance authorizations. How?
  4. Determine if clients have outstanding debts, or if they have overpaid their amount due. How?
  5. Close any clients ready to be closed. How?
