  1. I can't get my client's Fiscal Face Sheet to say 'Open.' How do I do that? Same question to change them to "Closed."

I can't get my client's Fiscal Face Sheet to say 'Open.' How do I do that? Same question to change them to "Closed."
You do their intake to 'Open' them, and their discharge to 'Close' them. Once you've done the formal intake, CILe automatically changes their status to 'open.' Then, when they're done and you want to close them, you do their discharge and CILe automatically changes their status to 'closed.' Both the Intake and the Discharge are available on the Client pop-up menu (right-click on the client's name on the client list form).


I just added a new client but I can't seem to put them on my schedule. Where are they?
When you sign into CILe, you are automatically brought into the schedule screen. When the schedule screen first opens, it populates the 'name' drop-down list with the clients who are in the database at that time. When you add a new client, the schedule screen didn't have it to grab when it opened. Now that you have added the new client, click the "Refresh" button on the top of the schedule screen and the drop-down name box will be updated with the new client, and you can schedule them.


When I try to access the Help system, I get the following message. How do I fix this so I can use the Help system?




Go to the Start button and click "Run." One command at a time, enter the following commands (cut and paste is easiest) and click the "OK" button.

I have a session showing up on my "Missing Session Notes" screen, and when I look at the session notes, it has been done. Why is it on that listing, and how can it get it off?

Your session will show up on that listing if certain conditions are true.

  1. In all cases, it starts with the client being scheduled for that date. Then, it looks at the data on the session note itself. If any of the information critical for the session note documentation is missing (visit, service, session time, or diagnosis), it will show up on that list.
  2. Also, if you have the word "Note" as the first word in the note, it will be listed. Having the word "Note" as the first word of the session note tells CILe that you have more work you want to do on this note, so you don't want to lose track of it. If that's the only issue and you are finished with the session note, then just delete the word "Note," and the session will not show up on the Missing Session Notes listing the next time you display it.
  3. Occasionally, you will accidentally insert a note for a date and time where you already have a note. If the second note has any of the data missing as listed in item #1 above, then that note will be displayed. Delete the duplicate note with the missing data, and the note will no longer be on the missing notes listing. Just be careful not to delete the note that has the electronic claims information documented (the eclaim id at the bottom). [The fact that you are even allowed to delete this note is a bug that has been corrected in the next version (Version 3.0.8), but in the mean time, you need to be careful.]

I have downloaded the new CILe Help file, but when I go into CILe to execute it, it tells me that it can't find the pages. How do I fix that?

This is a security feature of Windows XP and Vista. Your system is set up to confirm the open command for files of the .chm file type (which is a standard Help file) unless you specifically give it permission to run it. To fix it, you need to navigate in your Explorer to the C:\Program Files\CILe\Help folder (image below) and double-click on the CILe.chm file (Item #1) to open it. It will display a dialogue box asking you to confirm that you want to open it, and it will have a checkbox on that box (item #2) that says "Always ask before opening this file." Uncheck that box and click "Open" (Item #3). Your Help file will open. Go ahead and just close it, and CILe will then be able to open it like it is supposed to.

 


I accidentally deleted my only session note, and now CILe won't let me add another one. All of the buttons are gone. How can I add a session note?
Because of the way the "Add New Record" functions in Microsoft Access, I was forced to create that note as a kind of 'place-holder,' so the buttons, etc., would appear when you click the "Session Notes" item off of the client pop-up menu. You can actually recreate another note yourself to act as that placeholder by clicking "Phone Call of Misc Note" on the clien pop-up menu. Once you've done that, you can go back to the "Session Notes" item, then add your real note with the "Add New Note" button, and delete the 'placeholder' note you created. Unfortunately, you have to have at least one note for the session notes screen to work.


My insurance company is telling me that my electronic claims I've submitted aren't on file. I know I've send them to the clearinghouse. Why aren't they getting to my insurance company?
The key to getting your claim to the right place is called the "Short Name (Pyr Shrt Nme)" in I-Plexus. Go to the Help page for setting up insurance companies and verify that the short name (left-hand column on the screenshot) is the same as is on the I-Plexus listing. I-Plexus matches that Short Name to their records to determine where the claim is to be sent. If your claims aren't arriving at the insurance company correctly, the best bet is that that Short Name is incorrect. If you've double-checked it and it's correct, then the next thing to check is the documentation provided by I-Plexus (the "View Available Files" button on the upload page). Trace through the documents for the electronic file that the missing claim was submitted on and see if there is any information in the I-Plexus reports that give you any information. You should be able to trace your claim all the way through to submission to the insurance company. If the reports show that the claim got there but the insurance company says it didn't, then I would say again that you may have selected the wrong insurance company off of the I-Plexus "Payer List (claim)" listing, so double-check that. If that still doesn't answer the question, then please e-mail me and I will try to help you figure it out.


I'm trying to do another "Transfer to Excel" for today and it's not letting me. Why not?

You have an older version of CILe. If you upgrade to at least 3.0.8, it still won't let you create the file, but it will give you a clearer error message to tell you what to do about it.

Now, having said that, if you have an older version of CILe, you actually have created another excel file, but it just wouldn't allow CILe to append today's date to the filename because you already have one in your "CILe EClaims" folder with today's date. You can use your browser and navigate to the "CILe EClaims" folder in your "My Documents" folder and you will find a file with your name as the filename but no date extension (look at the others in that folder to see the format). Simply append today's date in the format yyyymmdda (note the addition of the letter "a" at the end of the date format). You can use any additional letter you choose. It will allow you to change the name with the date and suffix added, and you can upload it to the clearinghouse.
