Many of your clients will want to have a standing schedule,
a slot that is theirs every week, twice-monthly, or whatever. CILe gives
you a schedule "template" where you can document that standing
schedule, and then with the click of a button, you can build your daily
schedule from that template.
To access the Standing Schedule screen, select Standing
Schedule off of the Therapy menu.
Click on any field to jump to the explanation
of that field. Click the arrow to return
to the screen image.
The following are descriptions of each element on
the screen:
1) Standing Schedule screen
Allows a convenient way
to manage your schedule, whereby clients who have a predictable schedule
can be documented once, and your schedule page can 'grab' it when you're
ready.
2) Print
Creates a printable version of the
standing schedule that you can then send to your printer with the
Printer icon.
3)
Refresh
Click this button if you have added
a client through the "Add New Client" feature and want them
to show up in the client drop-down box for scheduling. Also click this
button if you have added a line to the bottom of the listing and you
want it resorted to be in the proper place in the list.
4)
Calendar
This calendar is provided for your convenience,
but doesn't do anything functional. I use it because I have many clients
I only see bi-monthly, and I like to visually see how their "1st
and 3rd" or "2nd and 4th" schedules fall out in the current
month.
5) Day
The day of the week the client will
be seen. This will be used by the "Build from Standing" button
by using the date on the actual schedule to determine which day's schedule
to build from the standing schedule.
6)
Time
The time of their schedule. It will
be inserted into the daily schedule when you click the "Build from
Standing" button on the schedule screen.
7)
Type
Let's you specify if this schedule is
weekly, bi-monthly, etc. This isn't used anywhere in CILe except here,
but is provide as a reminder to you what your intentions are for this
client. For instance, if you have a client on the standing schedule who
says "bi-monthly," but you don't have a corresponding second
row for a second client to be schedule bi-monthly on the opposite weeks,
then unless you want to take every other week off, you may be missing
a row.
8)
Client
The name of the client being scheduled.
To insert a client's name in the box, just put your cursor in the field
and start typing their first name as you have it listed as the "Display
Name" field on their Fiscal Face sheet. As you begin to type, a
name will appear in the box. Continue typing until the name you want
comes up in the box. This will rarely take more than a couple of letters,
because the box is looking for the first client in your client list
who starts with the letters you've entered.
9)
Alt Sched (Alternate Schedule)
This is a free-form text box where you
can put whatever you want. If you have a school meeting scheduled, or
even a dentist appointment, put the "zGeneral" in the client
box and type in whatever you have scheduled here. I use it to document
if my client is a "1st and 3rd" bimonthly client, or a "2nd
and 4th." This will then be transferred to the schedule itself so
I can keep track on any given week who is coming today.
10)
Intake
If you want to set a slot apart for doing
intakes every week, check this box. It doesn't do anything except document
your intentions here, but it may prevent you from accidentally giving
someone a slot you wanted to save.
11)
Notes
Allows you to include general
notes. Again, this will be populated on the actual schedule you create
with this template. I use this to document when I have an open slot so
I can scan down quickly when I have someone on the phone and see what's
available.
