| How do I quickly document and track
phone calls to and from non-clients?
If you're sitting at your computer and your receive a phone call, it is a click-of-a-button away to be able to document the phone call and keep it handy for follow-up. You access the Phone Messages screens by clicking "Msgs need followup" button on the client schedule screen. This button also shows up on a couple of other screens and functions the same as it does here.
The first screen is the phone call entry screen. This pops up quickly so you can take down the pertinent information while you are listening to the caller or to the phone message. The "Followup Needed" checkbox is automatically checked when the new record is created.
When you have a few moments to return calls, click the "Call Listing" button and jump to this page. You can decide which calls to make and have the phone number and the reason for their call conveniently in front of you. Any calls with the "Followup Needed" checkbox still checked will be listed at the top of the listing. Once you uncheck it, the call will be placed in order by date. Note the "Search" buttons at the top. If you are looking for a person and you know either their first or last name, or you know something you typed into their note, then type it in the appropriate box at the top and click the "Search" button to jump to the first record with that value. You can click it repeatedly until you find the record you're looking for.
Then, when you return the call, click the "Followup" button and jump to this screen to document the results of the phone call and when you returned their call. This page gives you the opportunity to document several callback attempts separately. When you have satisfied your requirement for this phone call, uncheck the "Followup Needed" checkbox. The call will then be placed in date order in the listing, and will not be calculated to show up as the value of outstanding messages on the "Msg Need Followup" button in CILe. |
