Adding Insurance Company Information

How do I get my client's insurance company in CILe so I can submit claims?

It's a two-step process. The first thing you need to do is to put the Insurance Company information, and then you need to put your own personal information in that applies to that specific insurance company (NPI, Provider ID, etc.)

Adding the Insurance Information


Click "Insurance Company Lookup" off of the Administrative menu.

Click on any field to jump to the explanation of that field, or just scroll down. Click the arrow to return to the screen image.


You can either edit the entries you've received with the CILe installation, or you can add your own. To add your own, go to the row at the very bottom of the ones listed (where the star * is) and type in the information. Once you've added in the Insurance Company information, go here to add your provider information.


The following are descriptions of each element on the screen:

1) Insurance Company screen Allows you to add new insurance companies to the drop-down listing of insurance companies on the client's Fiscal Face Sheet.
2) Payer ID Name (Short Name)

The "Payer Short Name" that comes from the clearinghouse website here. With I-Plexus, this is called "Pyr Shrt Nme" on their "Payer List (claim)" web page with the insurance company listing. This is what ties your claim to the correct insurance company in the electronic claims process, so this value is critical. Find your insurance company on their listing and put that value here. If you can't find the insurance company on their listing, call or e-mail them to find out how you can get it included.

3) Name This is the name you refer to this insurance company by. It only documents it in CILe, so it is not critical how it is spelled.
4) Envelope Name and Address This is the name and address that CILe will submit to the clearinghouse for the claims submission in the event the claim cannot be sent electronically. It is also the name and address that will be printed on the envelope if you click "HCFA Envelope" off of the client pop-up menu. This information is critical for claims submission, so if you have any doubt, call the insurance company.
5) Plan Type Select the item off of the pull-down that you believe best describes the type of insurance company you are entering.
6) Phone and Notes This information will appear on the client's Fiscal Face Sheet when you click into the empty text fields on that page. This is just for your convenience in calling the insurance company and for any information you want handy.
