Does CILe help me keep track of my banking deposits? Yes. Here's how:
From the Fiscal menu, click either of the two Copay items, and then the "Deposits to be done" report.
On this printable report, you will see all of the session for the week or for the date-range you selected in the pop-up windows, whether the person came or not, and what you documented as the amount of money they gave you during the session. This value comes off of the Session Note "Amt Paid" field. You can use this report to double-check that the checks you have in your hand have been fully documented in your Session Note screen. If there is anything missing, go back to the Session Note screen and change it. Your claims are not affected by this change, so even if you have already transmitted your claims, it's okay. Once you've made the changes to the Session Notes, reprint this report.
On this printable report, you will see all of the dollars you've received since the last time you did this report, which represents the money you should have in your hand from clients or insurance companies, ready to be deposited. If the two match, then you are ready to print this report and do your deposit with confidence that you have documented all of your dollars in CILe. At the end of my week, I take my checks and cash in hand and prepare my deposit slip. If the total on the deposit slip and the total on the top of this report don't match, I know I've missed something, and I stop until I figure out what I've missed. I won't do the deposit until they match, and that way I can never be concerned about whether or not I've been paid by either the insurance company or a client, or that I've missed documenting income I had received. This double-check virtually eliminates all possibilities of error. (Sorry, the dates on the two examples don't match, but you get the idea.) Once your "Deposits to be done" report and your deposit slip match, then print these two reports. As you exit out of the "Deposits to be done" report, CILe will ask you if you want these items marked as "printed." If you say, "Yes," then each item on this report will be marked as having been accounted for on this report, and won't show up the next time you create this report. Keep saying, "No" until this report and your deposit slip match. When you say "Yes," it will ask you if you've printed it so you have another chance to stop the marking process if you want to, and it will also make sure you have a printed copy in your hand. If you say "Yes" to that question, it will give you a Tracking Number to write on the top of the report. CILe keeps track of the tracking number and which items were included on this report so you can always go back. Note: The division of the dollars on top of the report are my way of dividing up my income for budgeting. Part of it goes to a savings account I have set aside for paying taxes, part of it goes to a separate checking account for paying bills, and part of it (a really, really small part of it) goes to my own personal checking account for my personal expenses. I use this report sitting in front of my on-line banking and do the transfers to the various accounts once my deposit has cleared, and I document those transfers in "Deposit slip input" item off of the Fiscal menu to keep track. That's just my way of budgeting. You can handle your finances any way you choose. If you like that approach but your numbers would be different, your percentages can be changed in the CILe database. If you want to do that, let me know and I'll help you. Then, once all of that is done, I staple the Deposits to be Done report, the Copays report, and the deposit slip together and file them. I have found this procedure to be invaluable in researching money people have given me and being confident in my results. |
