Document a client's copay / co-insurance / fee
How do I document the money the client gave me?

The amount of money the client gives you will either be the copay, their co-insurance, or their full self-pay session fee. The purpose of tracking that is so CILe can help you know what they client owes you, and you can bill them for the balance. Whether in reality it is a copay, a co-insurance, or a self-pay fee is irrelevant to CILe, since it simply represents what the client owes you for the session. CILe handles all three of them the same.


The "in-hand" money the client has given you is entered into the session note screen in the area circled on above. The "Mode" field is used to document whether it was cash, check, or credit card or whatever. You can put a check number in this field if you'd like, but it is not required and it is not tracked other than the documentation itself. This field does show up, however, on the "Deposits to be Done" report, so it could be helpful.

The "Client Portion Owed" amount to the left of that circle is what they owe you, whether it is the copay, the co-insurance, or their full fee.

To determine the total amount a client owes you, you can produce the "Accounting Report," or click the "Schedule with Copay" button on the Client Schedule screen. The Accounting Report gives you a full listing of all sessions (within parameters you specify such as date range), and totals up what you have documented they owe you and what they have actually paid.
