Client Schedule
How do you create the client schedule?

Two ways: By either setting up a schedule one day at a time, or by creating a "Standing Schedule" from which the daily schedules can automatically be built.

The Client Schedule Screen

The following are descriptions of each element on the screen:

1) Client Schedule If you are the therapist (as opposed to the Administrative person), when you sign into CILe, this is the screen you will come to automatically. This is your schedule for today. You will build this schedule either by adding one person at a time, or you can build it automatically from your Standing Schedule (off of the Administrative Screen) by clicking the "Build Schedule" button.
2) Date

The date of the displayed schedule. The day of the week ('Wednesday' is displayed above) is automatically determined by the date. When you first sign into CILe, the schedule date that is displayed is "today's' date.

3) Date Change arrows Changes the displayed schedule one day at a time up or down.
4) Display button To jump to a specific date, manually change the date in the Date field and click this button.
5) Today button To quickly return to today's schedule if you have navigated to some other schedule date.
6) Prior Notes button Displayes a screen with the most recent individual notes for all of the clients scheduled for today. Also includes the homework assignment from that sessions at the top of each client's note.
7) Print Day button Let's you print today's note. Includes the homework assignment as well as the most recent prescription psychotropic medications the client has been prescribed. You can also print the notes off of the Therapy menu.
8) Create VOS button

Displays the "Volume of Service" report for today's schedule. The Volume of Service is the result of each of the appointments that were scheduled for this date on a single sheet. Once displayed as a screen, the report can be printed.

9) Client List button Displays the full listing of open clients, plus those clients who have been entered into CILe and have not yet been opened. This may include clients who have called and been put onto the waiting list. Once you get there, you can click another button to see all of the clients in your database including all clients on the Open listing plus clients who have been closed.
10) Print Week button

Allows you to print the schedule for the entire week.

11) Refresh button When you come into CILe, you come immediately into the schedule screen. If you then add a new client off of the Administrative menu, the drop-down list in the "name" won't recognize that the new client is in the system. If you click the "Refresh" button, they will then appear in the drop-down list, and you can include them on the schedule without having to get out and back into the schedule.
12) Schedule with Copay button You can display an alternate version of the schedule that includes the amount of money the client owes you for today's schedule, plus what they owe you from prior sessions as well.
13) Calendar This is just a convenient way to quickly determine the date of the client's next visit as you're talking to the client with CILe up. It doesn't do anything automatically, and clicking on a date on the calendar doesn't do anything.
14) Messages Need Followup button This button links you to the Phone Message system. If you have any phone messages that have not yet been dealt with (and are still documented as 'need followup'), they will be added up and the total number of them will appear on the button. If you click this button, CILe will display an input form so you can quickly document an incoming phone call. You can then click a "listing" button on that screen to see a full listing of all of your phone messages.
15) Build Schedule button If you have clients who come on a regular schedule, you can put them intlo the "Standing Schedule" off of the Therapy menu. Then, when you are ready to create a specific day's schedule, click this button and CILe will read the Standing Schedule for the appropriate day of the week and automatically populate the schedule. You can then add or delete entries as desired. If you don't use the Standing Schedule feature, then this button will have no use.
16) Time of Appointment The time is a required entry for the schedule if CILe will be producing a claim for the session as the claim record is uniquely identified by date and time. You can have multiple clients schedule with the same time (as you would with a group), or you can have the same client scheduled for multiple times (as you would if they were attending an individual session and a group on the same day.) You cannot have the same client scheduled twice for the same time slot. The system will tell you that you have a duplicate entry and will stop you. Also, if you have a client scheduled in the Standing Schedule but prior to clicking the "Build from Standing" button, you add them manually into the schedule for that day, CILe will not add the client a second time to this schedule. It will simply ignore the Standing Schedule entry.

17) Client Name

The client's "Display name" as entered on their Fiscal Face Sheet. To add a client manually, simply start typing their name in the box, and when you have entered the number of characters that uniquely identifies the desired client, their name will appear in the box. You can also click the arrow and pick the client off of the drop-down list, but it's far less convenient to do so. Also, right-clicking on the name field will bring up the Client Pop-up menu so you can access all of CILe's features for the individual client. If no client is scheduled for a particular time slot, enter in the time slot but leave the name field blank. That way, you can visually see that you have an un-scheduled hour, and you can easily add a client into the blank spot if someone wants to come in.

18) Intake box If you try to add a client to the schedule that is not identified as "Open," CILe will alert you to that fact to make sure you are not scheduling someone you have discharged. If you check this box, then CILe will not give you that message. You can also use this check-box from the Standing Schedule if you'd like to use a specific time slot as your standard "Intake" slot.
19) Previous Session This shows you the date of the last time this client attended a session of any kind.
20) Next Session Shows you the value you entered into the client's last kept session (except for groups) in the "Next Session" field on the session note. This is useful if the client mentioned to you in the last session that they won't be here this week, but because they're on the Standing Schedule, they are scheduled automatically anyway. This field will show you not to expect them this week (so you don't sit there wondering where they are because you forgot what they told you), and you can document them as "Cancelled." You may also want to use it to document things like "spouse attending" or some other short note you want to remember for the next session.
21) Other Appointments / Notes The left-hand portion of this column is copied over from the Standing Schedule screen. Both columns are pre-populated with values from the Standing Schedule screen, but all values are editable in today's schedule.
