How does CILe help me manage and track visit authorizations?

With two primary screens: The "Visit Authorization Letter" screen and the "Calculate Visits Left (UTP Due)" screen. In general, CILe keeps track of the authorization, compares it to the session notes you have documented, and produces a listing showing you that comparison for each client.

The Visit Authorization Letter screen

You can access the "Visit Authorization Letter" screen from either of two ways: From the "Visit Authorization Letter" item on the client pop-up menu or from the "Authorizations" button on the Fiscal Face Sheet. Either approach takes you to the same screen. When you first come to this screen, you will be looking at the most recent Visit Authorization you have entered. If you are entering a new one, then click the little "add" button at the bottom of the screen to access an empty screen. Go to the "Things to know first" screen if you aren't sure how to do this.

Click the "Calculate Visits Left (UTP Due)" item off of the Fiscal menu. On some computers, it may take a moment to display the listing because it is doing a large number of calculations.

 

The "Calculation of Visits Remaining" screen

The "Visits Kept" column shows the number of "kept" visits as documented in the session notes for the visit of the Group Code type. The Authorization dates and the "Visits Auth" column values come from the "Visit Authorization Letter" screen. You can sort by any of the button on the column headers to control how you want to see the data.

The items in red above are those clients for whom authorizations need to be submitted soon. One because they are about to run out of visits, and three because their dates are close to expiring or have expired. The "Date UTP Sent to Ins Co" column is from a field on the fiscal face sheet in the "Additional Information" section of the Insurance portion of the screen.


When you have sent or faxed the authorization request, put the date in this box, and then it will show up on the above listing, letting you know if you have already dealt with this authorization request of if you still need to send it in. When the authorization comes in, delete this date in preparation for when it will be due the next time.
